    • Q.    Why is the shipping schedule being revised and delayed so often?

      A.

      The shipping companies we’ve contracted are making these changes, and as exporters, we cannot override their decisions.

    • Q.    How long will it take for the ship to reach my port?

      A.

       We try to deliver your vehicle quickly. It usually takes 3 to 5 days to ship from the Japanese port to your port.

    • Q.    What details do you need from me to book a shipping vessel for my vehicle?

      A.

      To book a shipping vessel, we need the following information:

      Port of Discharge: The closest port where the vessel will unload your vehicle.

      Vehicle Destination: The country where the vehicle will be used and registered.

      Consignee: The future owner of the vehicle. Provide their full name (as it appears on their passport or ID), complete address (no abbreviations), and phone number(s). Accurate details are crucial to avoid delays or extra fees.

      Notify Party: The person the shipping agent contacts to confirm the vessel's arrival. If you don’t have a clearing agent, you can write "Same as Consignee."

      DHL Delivery Address: The full name, address (no abbreviations), and phone number of the recipient for mailing your documents via DHL.

    Documentation

    • Q.    What documents will I get from Xetrocars for my shipment?

      A.

      As an importer, you will receive these documents:

      1. Bill of Lading (B/L)
      2. Insurance Document (if your purchase includes CIF)
      3. Export Certificate (also known as the "Deregistration Certificate" or "Cancellation of Registration" form)
      4. Commercial Invoice

      If required by your government, you may also receive:

      5. Inspection Certificate
      6. Export Permit (also called the "Bill of Entry")
       

    • Q.    What does "consignee" mean?

      A.

      The consignee is the future owner of the vehicle. You need to provide their full name (as shown on their passport or ID), complete address (no abbreviations), and phone number(s).

      Important points to note:

      • The shipping company may delay your booking if the consignee's full name and address are incomplete.
      • Even minor spelling errors in the consignee's name can lead to a B/L amendment, causing extra fees and delays.

       

    • Q.    Why do I need to provide the consignee's full name and address?

      A.

      Shipping companies require this information because the Bill of Lading (B/L) is an official document that confirms the cargo owner. The consignee's full name and address, as shown on their passport or ID, must be accurate.

      Key points:

      • Missing or incomplete information can delay your booking.
      • Spelling errors in the consignee's name can lead to costly and time-consuming amendments to the B/L.

    • Q.    What is the DHL Delivery Address?

      A.

      The DHL Delivery Address is the information needed to mail your documents, including the Bill of Lading (B/L), via DHL courier. You must provide:

      • The recipient's full name

      • A complete address (no abbreviations)

      • Phone number(s)

      Incomplete details can delay the dispatch of your documents.

    • Q.    Can I request changes to the vehicle information on the B/L or other documents?

      A.

      No, you cannot. Changing information on the B/L or any other documents is illegal. Xetrocars strictly avoids any involvement in illegal actions, regardless of the reason.

    • Q.    What languages can you do business in?

      A.

      We primarily do business in English, but we can also communicate in the following languages:

    • Q.    Can you ship auto parts inside the vehicle I am buying?

      A.

      No, we cannot place anything inside the vehicle unless it is being shipped by container.

    • Q.    Can I use two different e-mail addresses, such as my personal and work e-mail addresses?

      A.

      We only accept one e-mail address to keep the vehicle buying process as secure as possible.

    • Q.    What are your office hours?

      A.

      Our office is open from Monday to Saturday, 9:00 a.m. to 6:30 p.m. (Japan time). We have a lunch break from 12:00 p.m. to 1:00 p.m.
      We are closed on:

      ・ Sunday
      ・ Seminar Sessions (a few days throughout the year)
      ・ New Year's Holiday (several days around New Year’s Day)
      ・ Summer Holiday (several days in mid-August)
      ・ Golden Week (several days between April and May)

      Please note that the dates for long holidays like New Year's, Golden Week, and Summer Holiday may vary each year and will be announced closer to the time.

    • Q.    What are the rules and regulations for importing a vehicle?

      A.

      To learn about the export rules and procedures for your country, including pre-export inspection requirements, please check with the relevant government authorities. It is highly recommended that you research the responsibilities and risks of being a vehicle importer in your country before proceeding.

    • Q.    Can you show me the condition of the vehicle?

      A.

      We provide 10 to 15 detailed pictures of the vehicle to help you with your buying decision.

       

    • Q.    Does the FOB price on Xetrocars' website include additional costs like freight charges, storage fees, taxes, and duties?

      A.

      No, these additional costs are not included in the FOB price. The "FOB Price" on the Xetrocars website refers only to the vehicle's price. Freight charges will be added to the FOB price when you purchase the vehicle. After receiving the vehicle, you will be responsible for paying port clearing costs, import duties, taxes, and any other fees required by your country or the port of discharge. Please consult local authorities or a reputable clearing agent for more information.

    Purchasing & Paying

    • Q.    What is city delivery?

      A.

      City delivery is a service provided by Xetrocars to transfer the vehicle from the port of discharge to a designated city or border for delivery to the consignee.

       

    • Q.    Can I buy a vehicle for use in Japan?

      A.

      Yes, you can buy a vehicle for use in Japan.

    • Q.    What is a TT Copy, and where can I get it?

      A.

      A Telegraphic Transfer Copy (TT Copy) is a document that serves as proof of payment transfer from your bank. You will receive the TT Copy once you submit your payment at your bank. If a TT Copy is not immediately issued, you may use the deposit slip as a replacement.

    • Q.    Who is responsible for paying the bank transfer fee?

      A.

      The buyer is responsible for all bank fees. Please confirm the cost of these fees with your bank before finalizing the purchase agreement with our staff.

      Please allow a minimum of three (3) business days for your bank remittance to be reflected in our bank account. This is the typical processing time for interbank transactions.

    • Q.    Can you provide me with a receipt for my payment?

      A.

      No, we do not provide receipts. The bank remittance serves as an official written record of the payment transaction for both the buyer and seller.

    • Q.    What kind of payment methods can we use?

      A.

      Currently, we accept payments via bank wire transfer.

    • Q.    What currencies do you accept?

      A.

      We primarily deal in U.S. dollars and Japanese yen, but we also accept other currencies.

      Please note that all payments must be made via bank remittance to ensure an official written record of the transaction. We do not accept any form of cash. 

    • Q.    How do I figure out the all-inclusive price for city delivery?

      A.

      How do I figure out the all-inclusive price for city delivery?
      1. Fill in all required information in the Cost Calculator.
      2. Ensure you choose a destination under the “City Delivery” classification in the “Nearest Port/City” drop-down menu.
      3. Click on “CALCULATE” to receive your free price quote
       

      Please note that the calculated price is the total amount due by the buyer and must be paid as a one-time payment (installments are not accepted).

    • Q.    I found a vehicle on your website that I want to buy. What should I do?

      A.

      Please follow these steps:

      1. Visit our website and click on the vehicle you're interested in.
      2. Fill in all the required information in the cost calculator and click on "Send Inquiry."
      3. Once our staff responds to your inquiry, we can begin the negotiation process.

    • Q.    Are pre-export inspections required?

      A.

      For some countries, a pre-export inspection is mandatory before exporting the vehicle. Please visit your country's appropriate government authorities to obtain the required pre-export inspection lists. Although many countries did not enforce this regulation in the past, they are now beginning to impose large fines for violations. Make sure that your purchase includes an inspection if it is required by your country’s government.

    Receiving Your Shipment

    • Q.    Where can I get the actual arrival date of the shipping vessel?

      A.

      There are two ways to obtain the actual arrival date:
      1. The shipping agent will contact the Notify Party listed on the B/L about the shipment's arrival.
      2. You can also contact the shipping agent on your end about one week prior to the shipping vessel's estimated time of arrival (ETA).

    • Q.    Can the vehicle be delivered to my country?

      A.

      Yes, xetrocars has knowledgeable forwarding agents or staff who can arrange for the delivery of the vehicle from the port of discharge to your country.

    • Q.    Is it possible to clear customs using PDFs of the B/L?

      A.

      No, it is not possible to fully clear customs using PDFs of the B/L. However, you can complete 60% of the entire customs clearing procedure with PDFs. The rest requires submitting the original B/L.

    • Q.    Can you send me two sets of the B/L—one for me and the other for my clearing agent?

      A.

      Unfortunately, we cannot. Shipping companies issue only one set of the B/L per cargo, regardless of requests for additional copies.

    Vehicles & Inventory

    • Q.    Does the vehicle come with an English manual?

      A.

      No, the vehicles we sell are previously owned and operated in Japan, so any manual provided will be in Japanese.

    • Q.    Do you list the manufactured year of your vehicles?

      A.

      Yes, we list the manufactured year when the information is available. However, we cannot guarantee its accuracy, as it is provided by a third party. xetrocars is not responsible for any losses, damages, or issues caused by this information.

    • Q.    Are spare keys provided?

      A.

      It depends. If spare keys are not found in the vehicle's glove compartment, then they are not provided. You will be responsible for making copies once you receive the vehicle.

       

    • Q.    How many vehicles do you have in inventory and how often are they updated?

      A.

      We maintain a constant inventory of over 10,500 vehicles, with new purchases added every day.

    • Q.    Can I ask you to change the vehicle’s odometer reading (mileage)?

      A.

      No, changing the vehicle’s odometer reading is illegal. xetrocars does not participate in illegal actions, regardless of the reason.

    • Q.    Can I request vehicles not listed on your website?

      A.

      Definitely! Please let us know what you're looking for, and our team will do our best to find the vehicle that best suits your request.

    • Q.    Can you install audio systems or other parts such as alloy wheels?

      A.

      Yes, we can. Please let us know what you want us to install before requesting the Proforma Invoice.

    • Q.    Can I arrange a visit to see your vehicles in person?

      A.

      Unfortunately, this is not possible as we do not allow anyone into our storage yard for security reasons. However, you can visit our office. Please schedule an appointment in advance..

    • Q.    Do you provide any warranties or guarantees of condition?/h3>

      A.

      Local Sale: You are purchasing a used car, and we do our best to ensure you are getting a vehicle with no known issues, or if there are any, you are made aware of them at the time of purchase. However, there are no warranties, and we cannot guarantee that there will be no issues. If the car is delivered and you make us aware of the issue, we will make every effort to address and fix it, but this will be on a best-effort basis and will depend on the situation. If the car is delivered with a valid inspection (JCI) remaining in another person’s name, the buyer (customer) is required to get the car registered in their own name. This should be done as soon as possible, preferably within a week, but absolutely no more than three weeks after delivery.
